Real Estate Marketing Automation From First Inquiry to Closing
Anniversary
Our real estate marketing automation keeps agents and teams in touch with new leads, active clients and past clients on a steady schedule. Most buyers and sellers are not ready on the day they inquire. Some take months or years to move. Automation handles the reminders and routine touches, so your calls go to the people who are ready to talk.

Fast follow-up from portals, IDX and open houses
Leads arrive from many places: Zillow, Realtor.com, your IDX website, open house sign-ins, social ads and referrals. Each source formats data differently. We parse each one into your CRM with the source, property and price range attached.
New leads get an immediate acknowledgment by email, and by text if they opted in. On teams, leads are assigned by rules you choose, such as round robin, area or price point. If the assigned agent does not respond within your set window, the lead moves to someone else and the team lead gets an alert.
We build this in the CRM your team already uses, such as Follow Up Boss, or in GoHighLevel for teams that want funnels and texting in one place.
Long-term nurture and past client touches
Much of your future business may already be in your database. These workflows keep you in front of it without manual reminders.
- Listing alerts – New listings that match a buyer's saved search, sent from your IDX feed.
- Area market updates – Monthly or quarterly updates by neighborhood or ZIP code.
- Home value check-ins – Periodic estimates for past clients and likely sellers, with an easy way to request a real valuation.
- Open house follow-up – Same-day thank-you messages and similar listings for each sign-in.
- Closing anniversaries – A yearly note on the date a client bought or sold, with a call task for the agent.
- Referral requests – Well-timed asks after a closing or a positive review.
AI automation for real estate agents
AI is useful in a few specific spots. It can draft listing descriptions from your notes and MLS data. It can summarize call notes into the CRM, answer basic questions in website chat and draft follow-up texts for the agent to approve. Voice agents can answer inbound calls after hours, take a message and book a showing request.
It also makes mistakes that matter in real estate. AI may invent features, such as a renovated kitchen that is not there, or describe a neighborhood in ways that raise Fair Housing concerns. So the agent reviews every listing description and client-facing message before it goes out.
Used this way, AI marketing for real estate supports your judgment instead of replacing it. For chat and voice builds, see our AI agents and chatbots service.
Consent, Fair Housing and brokerage rules
Marketing texts and calls need prior express written consent under the TCPA. That consent should be captured on your forms and stored in the CRM. Every text includes a way to opt out, and we honor STOP replies right away. Business texting also requires A2P 10DLC registration with carriers. The FCC has ruled that AI-generated voices count as artificial voices under the TCPA, so outbound AI calls need the same consent.
The Fair Housing Act applies to automated content and ads too. Meta places housing ads in a special ad category with limited targeting options. Many states also require your brokerage name in advertising, and IDX displays must follow your MLS rules.
For brokerages rolling out marketing automation for realtors across a team, we build shared templates that already include required disclosures.
Pricing and what we track
You get a clear price in your free proposal, after we look at your goals. CRM, texting and IDX fees are billed by each vendor.
We will not promise closings or a set number of appointments. We track response time, contact rate, appointments set from nurture and past client engagement.
Automation works best with good content. Our real estate email marketing team writes newsletters and market updates, and our real estate video production team makes listing and market videos to send. Browse all our AI automation services.

FAQ
Real Estate Marketing Automation: questions
We often work in Follow Up Boss and GoHighLevel, and we can connect most CRMs that offer an API. If you are choosing a new one, we compare options against how your team works.
Only if the lead gave consent to receive texts. Many portal forms include consent language, but you should confirm it. Without consent, we send email and create a call task instead.
Not if they are written in your voice and sent at sensible times. We keep templates short and personal, and we create call tasks for moments that need a real conversation.
It can draft them from your notes and listing data. You should check every detail and the wording before it goes to the MLS. Errors and Fair Housing issues are your responsibility as the listing agent.
Yes. We build shared templates, routing rules and reporting for team leads and brokers. Each agent keeps their own voice within approved templates.
