Financial Advisor Marketing Automation Your Compliance Team Can

Approve

We set up financial advisor marketing automation for RIAs, independent reps and advisory teams. Typical workflows cover new client onboarding, review meeting scheduling, event follow-up and prospect nurture. Each one is built so every outgoing message can be reviewed, approved and archived. Your chief compliance officer or broker-dealer signs off on the tools before anything goes live.

Workflows for advisory practices

Advisors build relationships over years, and many touchpoints repeat on a schedule. These are the workflows most practices start with.

  • Prospect nurture – Approved educational emails after a first meeting, a seminar or a referral introduction.
  • New client onboarding – Document checklists, e-signature reminders and a welcome sequence that explains what happens next.
  • Review meeting scheduling – Reminders to book annual or semiannual reviews, with a link to your calendar.
  • Seminar and webinar follow-up – Thank-you messages, replays and a booking link for attendees and no-shows.
  • Client milestones – Tasks for the advisor around birthdays, retirement dates and other planning moments, rather than automated sales messages.
  • Referral and review requests – Requests sent only in the form your compliance team approves under the testimonial rules that apply to you.

SEC, FINRA and recordkeeping in plain terms

Registered investment advisers follow the SEC Marketing Rule, which covers advertisements, testimonials, endorsements and performance. State-registered advisers follow their state securities regulator's rules. Reps of broker-dealers follow FINRA Rule 2210 on communications with the public, and many retail communications need a principal's approval before use.

Recordkeeping is where automation needs the most care. SEC and FINRA rules require firms to keep records of business communications, including email and text messages. Regulators have fined many firms for business texts sent on unapproved apps. So every channel in your workflows must be approved by your firm and captured by your archive.

We connect email and texting tools to archiving services such as Smarsh or Global Relay where your firm uses them. We do not give compliance advice. Your CCO or broker-dealer approves the tools, templates and rules.

Connecting your CRM, email and archive

Most advisor workflows start in the CRM. Redtail, Wealthbox and Salesforce Financial Services Cloud are common choices. We set up fields, tags and workflow triggers so that a new client, a scheduled review or a completed form starts the right sequence.

Email often runs through a platform your broker-dealer has approved, which can limit options. We work within that list. Calendar booking links, e-signature tools and forms connect to the CRM so data is entered once.

For CRM setup or a move between systems, see our CRM implementation service. For connections between apps that lack a native integration, our workflow automation team builds them with the same archiving rules.

AI meeting notes and drafts, with review

AI note takers can summarize client meetings and add them to the CRM. They can also draft follow-up emails and meeting agendas. These tools save the advisor from starting with a blank page, but they make mistakes, so the advisor checks every summary for accuracy.

There are compliance questions too. Meeting recordings and summaries may count as records your firm must keep. Some states require every party to agree before a call is recorded. Regulation S-P requires firms to protect customer information, so we review each AI vendor's data handling with your CCO.

The SEC has also brought cases against advisers for overstating their use of AI. We keep any claims about your technology modest and accurate.

Pricing and what to expect

You get a clear price in your free proposal, after we look at your goals. CRM, email, archiving and AI tool fees are billed by each vendor.

Cost depends on your CRM, the number of workflows, your broker-dealer's approval process and how many advisors share templates. We plan review rounds into the schedule.

We will not promise new assets or client growth. We track meetings booked, reviews completed, onboarding completion and email engagement. FAQ

Financial Advisor Marketing Automation: questions

  • Only through a texting platform your firm has approved and archives. Many firms require a specific vendor. We set up texting inside those limits and keep marketing texts to clients who opted in.

  • Usually, yes. Templates are typically reviewed before use, and some retail communications need principal approval. We batch templates for review and log the approved versions.

  • Redtail, Wealthbox and Salesforce Financial Services Cloud are common. The right choice depends on firm size, custodian integrations and your broker-dealer. We can help you compare them.

  • Possibly, under the SEC Marketing Rule or FINRA rules, with required disclosures. Your CCO decides whether and how. We build only the version your firm approves.

  • Yes. Hybrid advisors often answer to both an RIA and a broker-dealer. We build workflows that meet the stricter of the two sets of rules your firms set.
